How to Set Up Business Email With Your Own Domain (cPanel Guide)

By Admin · · Updated · 7 min read

When a customer receives a quotation from [email protected], they wonder whether the business is real. When the same quotation comes from [email protected], it looks established and trustworthy. A business email with your own domain is one of the cheapest ways to look professional, and if you already have web hosting, you may already have everything you need. This guide explains how to set up business email with your own domain using cPanel, which DNS records matter (MX, SPF and DKIM), and how to use the new address on your phone and in the Gmail app.

Why use business email with your own domain?

  • Trust: customers, banks, suppliers and government offices take a domain email more seriously.
  • Brand: every email you send repeats your website address.
  • Control: when an employee leaves, you keep the mailbox and its history. With personal Gmail accounts, the emails leave with the person.
  • Organisation: separate addresses such as info@, sales@, accounts@ and support@ keep work tidy.
  • Tender and corporate requirements: many organisations prefer or require an official email address.

What you need

  1. A domain name, for example yourbusiness.com or yourbusiness.com.bd. If you do not have one yet, search on our domain page.
  2. Email hosting. Most cPanel web hosting plans include email accounts. If you only need email and no website, a dedicated business email hosting plan works too.
  3. Access to your domain's DNS, which is usually managed automatically when your domain uses your hosting's nameservers.

Step 1: Create the email account in cPanel

  1. Log in to cPanel from your hosting welcome email or the client portal.
  2. Open Email Accounts and click Create.
  3. Choose the domain (if you have more than one) and type the username, for example info or karim.
  4. Set a strong password: at least 12 characters with letters, numbers and symbols. Do not reuse your Facebook or bank password.
  5. Set the storage limit. For most staff, a few gigabytes is plenty; for an accounts mailbox with many attachments, give more.
  6. Click Create. The mailbox is ready immediately.

You can open it straight away using Webmail in cPanel, or by visiting yourdomain.com/webmail in a browser.

Step 2: Check your DNS records (MX, SPF, DKIM)

DNS records tell the rest of the internet where to deliver your email and whether email sent from your domain is genuine. If your domain uses your hosting company's nameservers, cPanel creates these records for you. It is still worth understanding them, because they are the reason emails land in the inbox instead of spam.

MX record: where incoming mail goes

The MX (Mail Exchanger) record tells other mail servers which server accepts email for your domain. If you can send but never receive email, the MX record is the first thing to check. In cPanel, open Email Routing and make sure it is set to Local Mail Exchanger when your email is hosted on the same server as your website.

SPF record: who may send for your domain

SPF is a TXT record that lists the servers allowed to send email using your domain name. Without it, many providers treat your messages as suspicious. It looks something like v=spf1 +a +mx include:yourhost ~all. You should have only one SPF record per domain; if you also send newsletters through another service, add that service to the same record instead of creating a second one.

DKIM: a digital signature on every email

DKIM adds a hidden cryptographic signature to each message you send. Receiving servers check the signature against a public key published in your DNS. If it matches, they know the email really came from your domain and was not changed on the way.

DMARC: the policy that ties them together

DMARC is another TXT record (named _dmarc) that tells receivers what to do when an email fails SPF or DKIM checks. A safe starting value is v=DMARC1; p=none; rua=mailto:[email protected], which monitors without blocking.

In cPanel, open Email Deliverability. It shows whether SPF and DKIM are valid for each domain and can fix them with one click. If your domain's nameservers point somewhere else, such as Cloudflare, copy the suggested records there instead. Our article DNS and nameservers explained covers how these records work in more detail.

Step 3: Set up email on your phone

Android with the Gmail app

  1. Open Gmail, tap your profile picture and choose Add another account.
  2. Select Other, enter your full email address and tap Manual setup.
  3. Choose Personal (IMAP) and enter your password.
  4. Incoming server: mail.yourdomain.com, port 993, security SSL/TLS.
  5. Outgoing server: mail.yourdomain.com, port 465, security SSL/TLS, with sign-in required.
  6. Finish, and your business inbox appears alongside your personal Gmail.

iPhone

Go to Settings → Mail → Accounts → Add Account → Other → Add Mail Account, choose IMAP and use the same server details. In cPanel, the Connect Devices button next to each email account shows the exact settings for your server and can even generate an automatic configuration profile for Apple devices.

Computer (Outlook or Thunderbird)

Most desktop email programs detect the settings automatically when you enter your address and password. If not, use the same IMAP and SMTP details as above.

IMAP or POP3?

Always choose IMAP unless you have a specific reason not to. IMAP keeps your email on the server and syncs it between your phone, laptop and webmail. POP3 downloads messages to one device and can remove them from the server, so if that phone is lost, the emails are lost too.

Useful extras in cPanel

  • Forwarders: send a copy of everything that reaches sales@ to the owner's address.
  • Autoresponders: automatic replies during Eid holidays or after office hours.
  • Spam filters: turn on spam filtering to keep the inbox clean.
  • Default address: decide what happens to emails sent to addresses that do not exist; rejecting them reduces spam.

Tips to keep business email reliable

  1. Give each staff member their own mailbox instead of sharing one password.
  2. Change passwords when someone leaves the company.
  3. Do not send bulk promotional email from your normal mailbox; it can get your domain blacklisted. Use a proper newsletter service.
  4. Keep an eye on mailbox size and delete large old attachments.
  5. Renew your domain and hosting on time; if either expires, email stops immediately.

Frequently asked questions

Is business email included with web hosting?

On most cPanel plans, yes. Each plan shows how many email accounts it includes on our hosting page.

Can I keep using the Gmail app?

Yes. The Gmail app on Android and iPhone can send and receive from your business address using IMAP.

Can I use Google Workspace or Zoho instead of cPanel email?

Yes. Your domain's MX records can point to any email provider. We can help you set up the correct records if you choose another service.

Will my old Gmail messages move to the new address?

Not automatically, but you can forward important messages or import them using an email client. Many businesses simply start fresh with the new address.

How many email addresses can I create?

That depends on your plan. Some plans include a fixed number of accounts and others allow unlimited accounts within your storage.
